Destination Event Planning Procedure
Effective Date: June 2, 2025

1. Overview
This procedure defines the actions and responsibilities of IKSounds Entertainment and the client when planning and executing a destination event. It ensures all travel, equipment, and performance requirements are properly addressed, and outlines logistical, technical, and financial expectations to ensure a seamless entertainment experience at any location.
2. Travel Destination Event Protocol
2.1 Responsibilities of IKSounds Entertainment (DJ)
Provide DJ/MC services using essential equipment (controller, mixer, and wired mic if needed). Wireless mics will not be brought for international events due to possible frequency incompatibility with local regulations.
Help plan the entertainment portion of the event using the IKSounds planning website tools, including timeline, music selections, and formalities.
Host and execute all entertainment aspects according to the finalized plan.
Coordinate with client and destination vendors for local equipment rental and venue logistics.
Confirm setup logistics and test local rental equipment upon arrival.
Ensure arrival at least one day prior to the event for setup and technical testing.
2.2 Responsibilities of the Client
The client shall:
Cover all travel-related costs, including:
Round-trip airfare (for DJ and any assistant, if applicable).
Hotel accommodations (minimum 3-star rating, within 15 minutes of venue, minimum 2 nights).
Daily meals and transportation at the destination.
Coordinate with DJ on venue access and equipment delivery/setup timelines.
Cover all local rental costs (if venue does not provide equipment) for speakers, lighting, screen/projectors, and staging if required.
3. Equipment Plan
3.1 DJ-Provided Equipment (Brought by Victor)
DJ Controller
Wired Microphone System if needed
Mixer or Audio Interface (as required)
USB Drives and Laptops (with backup music libraries)
Note: These items are compact and TSA-checkable/carry-on compliant.
3.2 Venue- or Locally-Provided Equipment
Speakers / Sound Reinforcement (e.g., two powered speakers and subwoofer)
Tables / Linens / Booth Area Setup
Any additional equipment provided by the destination, such as lighting, TVs, projectors, or staging elements, depending on the package booked
4. Equipment Sourcing
Equipment will be sourced in the following order of preference:
Destination Venue – If the venue has in-house audio/visual equipment, verify brand/specs and compatibility during pre-event planning.
Local Entertainment Companies – Partner with local DJs or A/V service providers who can deliver, set up, and strike gear.
DJ Equipment Rental Companies – Identify and reserve rental gear in advance; ensure deposit and inventory list is signed off with the client.
IKSounds will help research and recommend options, but all rental costs are fully paid by the client prior to the event.
5. Electrical Requirements
Voltage Compatibility: Determine local voltage (e.g., 220V vs. 110V).
Adapter/Converter Needs: Client and DJ will coordinate to obtain any necessary power converters and plug adapters to ensure all DJ equipment functions safely.

7. Force Majeure & Travel Delays
Delays or cancellations beyond the control of IKSounds Entertainment, including weather, airline delays, political unrest, or local emergencies, are covered under the Force Majeure clause in the contract. In such cases, a partial or full refund may be considered at the discretion of IKSounds Entertainment, minus all non-recoverable costs such as airfare, hotel, and time committed.
8. Additions & Optional Services
Assistant DJ/MC Add-on: For larger events, client may be required to book an assistant or technician.
Destination Add-on Packages: Special effects, lighting upgrades, and visual media can be quoted if local rentals are available.
Insurance & Permits: Client is responsible for any local permit or insurance requirement specific to the destination venue.
9. Communication Protocol
All updates and confirmations must be documented via email or client portal. A final planning call will be held 1–2 weeks prior to the event.
10. Limitations of Responsibility
IKSounds Entertainment shall not be held responsible for the following situations, which are considered beyond the company’s control:
Venue-related issues, including delays, miscommunication, or the failure of venue staff to provide access or services.
Failure of destination-provided equipment, such as lighting, speakers, staging, or display technology, whether rented or supplied by a third party.
Electrical power issues, such as outages, surges, or incompatibility due to local power standards, which may cause equipment malfunction or pose safety risks.
Local government regulations, inspections, or restrictions that delay or prevent performance.
Acts of God, including weather disasters, political unrest, pandemics, and other emergency conditions.
Local logistical problems, such as poor road conditions, traffic issues, or unreliable transportation.
Failure of the client to fulfill payment obligations or secure required arrangements prior to the event date.
We understand the complexity and uncertainty involved in destination events and are committed to being as flexible as possible. In such cases, a partial or full refund may be issued at the sole discretion of IKSounds Entertainment, excluding any non-recoverable costs such as travel, lodging, and time committed.
